How AV Maintenance is crucial to business continuity.

Audio Visual Communication has the capacity to transform your event or presentation from a snooze-fest into  a heightened sensory experience that leaves a lasting impression. Not so long ago, most boardroom meetings consisted of simply setting up a projector and included a basic sound system. But the way we communicate with each other, with our buildings, with technology, and how the building systems communicate with each other appears to be more complex now. The technology needed to meet the needs of organisations has been amplified. In fact, AV technology in the workplace is now an essential rather than a ‘nice to have’. The introduction of AV technology into workplace operations has resulted in an increase in better efficiency, better communication and better value.

However, what happens when a technical malfunction occurs?

When things go wrong.

If you regularly utilise Audio Visual technology, you have most likely also experienced a fault at some point. For example, a video that won’t play, a screen that won’t share, sound that is inaudible or software that won’t open – faulty or out of date technology results in downtime which reduces employee productivity.

A working example: You have met and collaborated with your team multiple times over the past few weeks to perfect your pitch. Hundreds of man- and woman-hours have been expended on this crucial development to your business. Having reached the presentation stage you organise a meeting with your potential investors, anxiously wanting to impress the room full of executives physically in front of you with others joining via webcams. Having briefly introduced yourself and provided an overview on what you are about to present, you take a deep breath and switch on your laptop to deliver your production to everyone. However, your presentation will not share to the big screen behind you.  Alongside the embarrassment, time wasted and cost of the fee to repair your AV equipment, this technical failure has cost you hours of employee downtime and waste of the clients’ time, and has most likely cost you the business deal. A service contract can prevent technical faults with regular maintenance checks and a fast, reliable response time to any problems, therefore saving on costs in the long run.

Why you need a Service Contract

AV and IT systems are fundamental to business continuity as, now more than ever, you need them to communicate with each other and with your clients. Avoiding a technology malfunction is a necessity in the organisation. You may find yourself in a position where, having invested heavily in leading edge technology, a couple of years later you are left with slow, inefficient and outdated systems. By acquiring an AV service contract, you have the peace of mind that downtime caused by obsolescence will be proactively identified, managed and resolved, whilst also optimising your capacity with improved tools, features and systems. Without a service contract, an emergency call-out to remedy a more complex problem can be much more costly than scheduled regular maintenance, while minimising frustration for your teams and clients.
